Fundraising: a tool, not a miracle solution

For many students, the cost of a graduation party represents a significant expense.

When a committee starts building its budget, one question almost always comes up:

How can we reduce the ticket price?

The first idea is often to cut certain expenses.

Choose a less expensive hotel.

Remove the photobooth.

Reduce the décor.

Yet this isn’t always the best solution.

A good fundraising plan can often preserve the quality of the event while reducing the amount students have to pay.

But be careful: fundraising doesn’t happen by itself.

The most profitable campaigns are rarely the ones launched at the last minute. Instead, they are built into the timeline from the very beginning of the planning process.

Individual or group fundraising?

There are generally two approaches.

Group fundraising

All sales generated benefit the entire graduating class.

This approach is simple and encourages teamwork, but it can sometimes discourage students who contribute more than others.

Individual fundraising

Each participant accumulates their own profits, which are then directly applied to the cost of their ticket.

This approach rewards individual participation and is often very popular with students.

At Jour J, we favor this approach whenever possible because it allows each person to reduce the cost of their participation based on their level of involvement.

Choose fewer campaigns… but choose them wisely

A common mistake is believing that the more campaigns you organize, the more money you’ll raise.

In reality, the opposite is often true.

After a few weeks, students become tired, friends and family are repeatedly asked to buy products, and sales start to decline.

We generally recommend selecting a few well-chosen campaigns and then giving them real visibility.

Three well-organized campaigns will often produce better results than eight campaigns launched in a rush.

Jour J Tip: Before choosing a campaign, ask yourself:

Would I buy this product myself?

If the answer is no…

…your friends and family may feel the same way.

Establish a schedule from the beginning

Fundraising works much better when it is planned in advance.

For example:

Period

Goal

Fall

First campaign

Early winter

Second campaign

Early spring

Final campaign

This approach allows you to:

  • avoid fundraising fatigue;

  • communicate more effectively with students;

  • receive products on time;

  • distribute the committee’s workload.

Communication: the key to success

Even the best campaign will generate few results if students don’t understand how it works.

Every communication should answer four questions:

  • What is the product?

  • When is the order deadline?

  • How do I place an order?

  • How much money will go toward the graduation party?

The simpler the information, the more likely students are to participate.

Make order management easier

For a long time, committees managed orders across multiple Excel files, paper forms, and Messenger conversations.

This required a huge amount of time and increased the risk of errors.

Today, several platforms allow committees to centralize orders, payments, and campaign tracking.

At Jour J, we work with a platform that simplifies this process and allows participants to easily track their progress throughout the year.

This allows the committee to focus its energy on organizing the graduation party rather than administering fundraising campaigns.

How do you choose a good campaign?

Not every campaign is suitable for every graduating class.

Before making your choice, ask yourself:

  • Is the product easy to sell?

  • Is it offered at a reasonable price?

  • Is the profit margin attractive?

  • Is the logistics realistic?

  • Do the delivery timelines fit your schedule?

  • Will students actually want to participate?

A good campaign is simple, well organized, and adapted to your group.

The mistakes that can cost you

Over the years, we’ve seen certain mistakes come up regularly.

Waiting too long

The earlier you start, the more options you have.

A fundraising campaign launched just a few weeks before the graduation party will rarely deliver the results you’re hoping for.

Running too many campaigns

Quantity doesn’t replace quality.

It’s better to have a few well-executed campaigns than a succession of initiatives that eventually exhaust everyone.

Neglecting communication

Students should never have to search for information.

Instructions should be simple, visible, and sent at the right time.

Underestimating the logistics

Receiving dozens or even hundreds of orders is a challenge.

Plan from the beginning for:

  • a delivery location;

  • a team of volunteers;

  • a distribution method;

  • a way to track orders.

Good organization can prevent a lot of stress on delivery day.

Fundraising shouldn’t become a burden

Fundraising is an excellent way to reduce ticket prices.

But it should never take over the entire project.

Your main goal remains to organize a memorable graduation party.

If campaigns become too time-consuming to manage, they can take valuable time away from other areas where the committee could be focusing its efforts.

Finding the right balance is often the best solution.

In summary

Fundraising is one of the best tools available to an organizing committee to make its graduation party more accessible.

By planning your campaigns early, choosing the right products, and communicating effectively with your graduating class, you increase your chances of success while reducing stress for your team.

At Jour J, we support committees with fundraising planning, timeline management, and tools that simplify the entire process.

Because good fundraising isn’t just about selling products.

It’s about giving an entire graduating class the opportunity to experience a graduation party that lives up to their expectations.
